Reasons for collection and use of personal data
Dr Jeevun Sandher’s office collects and processes constituents’ personal data for the purposes of assisting with issues on their behalf and providing advice (‘casework’), responding to queries about policy and requests for attendance at events. These personal data may be provided by the constituent via email, telephone or during a face-to-face meeting, or may be provided to us on their behalf by their parent, guardian, carer or an external agency. This office uses electoral register data for referencing and filing purposes.
Type of personal data collected and processed
Personal data may include name, email address, telephone number, address and any other personal data provided by the constituent, which may ‘special category‘ data.
Lawful basis for collection and use of personal data
Personal data are collected and processed under the lawful basis of ‘public task’ (GDPR Article 6(1): “the exercise of a function conferred on a person by an enactment or rule of law.”). Where these personal data include special category data this office processes such data on the basis of ‘reasons of substantial public interest’ (GDPR Article 9(2)(g) and, where appropriate, in accordance with Schedule 1, Paragraph 23(1) of the Data Protection Act 2018.
Who this office shares personal data with
Personal data may be shared with government departments and agencies, local authorities and other public bodies such as the NHS, utility companies and housing associations, only as is strictly necessary for the resolution of casework.
Personal data may also be processed and stored on this office’s behalf by a third party (‘data processors’). This includes Elected Technologies Ltd. and the UK Parliament. No data are stored outside the UK.
How long this office holds personal data for (‘data retention period’)
Personal data are held for two years from the date of resolution or closure of a case, or from the date of the reply to a policy query or a request for attendance at an event, or until the end of Dr. Jeevun Sandher’s final term of parliamentary office, whichever is the shorter period.
Your rights
As a Data Subject you have rights under the General Data Protection Regulations (GRPR) and the Data Protection Act 2018. These include the right to request access to all personal data held on you by making a Subject Access Request to this office. If the data held on you are no longer necessary for the casework or policy query purposes for which it was collected, you have the right to erasure of that data. You also have the right of rectification if the data that are held on you are no longer correct. For all such requests please contact Dr. Jeevun Sandher MP.
If you are unhappy about the way your personal data are being used you have the right to complain to the Data Controller (see above) and to the Information Commissioner’s Office (ICO). The ICO has powers to investigate compliance and enforce data protection law.
